ABSTRACT

This project is insight into the design and implementation of a web driven clinic management system. This system is developed to reduce the time wasted in storing and retrieving patient data. The system increases the performance of operation in the clinic; assist the doctor’s patient at the front desk of a hospital. It makes appointment booking easy. The patient will be able to learn about the doctors, appointment times, relevant departments, laboratory tests and the specific medicine about his/her medical situation. The methodology that was applied to achieve the objective in this web driven system is the Object-Oriented Methodology, which uses an object-oriented approach for modeling web information system (WIS). This methodology separates the different parts of a complex application, and the development time is reduced through the use of components and distributed structure. The system was implemented using PHP, MySQL programming language, CSS, and HTML. This is because the programming language has the advantage of easy development, flexibility and it has the ability of providing the developer with possible hints and it produces a graphical user interface.

CHAPTER ONE

INTRODUCTION

1.1 Background of the study

Caritas University, Amorji Nike, Enugu, is a faith based private university approved by the federal government of Nigeria on 16th December 2004. It was officially opened on January 21st 2005 by the Federal ministry of education, prof Fabian Osuji, some of the facilities provided by the university includes medical care, sport facilities, although the clinic has no permanent structure .Over the years medical records of student have being recorded manually were each student is allocated a file were medical report of the patient is recorded. This method of filing health report is stressful and time consuming; with the use of clinic management system records can be easily accessed.

        Clinic management systems are computer software products that coordinate and integrate all the inherent activities involved in the management and running of a healthcare facility. Healthcare computer system, commonly known as clinic management system, is created to computerize manual operations in clinics. The primary purpose is to digitize patient records so as to make data retrieval easy and efficient. Being in the digital form, patient data can be conveniently shared and accessed by multiple simultaneous users at different locations, resulting in smoother clinical operations and collaboration among clinicians. It also means that patient data can be easily backed up, and be protected for confidentiality and from tampering through access control. Clinic management system is a computerized system designed and programmed to deal with day to day activity taking place. The program can look after inpatient, outpatients, database treatment, status illness, billings in the pharmacy and labs. It also maintain hospital information such as ward id doctors in charge and department administering .the purpose of the project is to computerize the front office management of the hospital to develop software which is user friendly, easy, fast, and cost effective. Clinic management system deals with the collection of patient information, diagnosis details, etc. clinic management system is a web based system that provides clinic with the tools to organize evaluate and efficiently manage department within the clinic. Clinic management system has five parts namely: hardware, software, procedures, people and data. This project work will be of importance to the medical sector as it will be designed to address most of the administrative work. This system controls and protects personal privacy and reinforces confidentiality, provides a consumer view of information, accommodates consumer decision support and self-care, Supports medical education, support clinical research. Accounting becomes very complicated and pathetic, using the Manuel method of record keeping and retrieving patient’s information. The goal of a system is to develop and implement the system cost effectively, user friendly and most suited to the user’s analysis, where each patient is given a unique identification number to enable them access the system and book appointment at their convenient time. Clinic management system is designed to enable the clinic input, process, and display their patient’s information. This system is used to manage and maintain electronic medical records, patient’s information, prescriptions, lab reports etc. caritas university has patient’s records manually written and stored.

   Considering the increase in number of students in the university, facilities available and the health needs of the people increase daily, computer aided machines is evitable for more accuracy.

1.2 Statement of the problem

The keeping and retrieval of accurate records on patients are poorly carried out. In most clinics, files may be misplaced and the information in them will be wrongly filed. Therefore obtaining accurate data may not be possible. This is also the case with obtaining other medical information and data especially when new folder and number are obtained each year. The keeping of folder for each patient manually takes a lot of time and money. Some of the information are redundant and have net effect and inefficiency on the management. Caritas university clinic has kept Manuel record in filing cabinet, the students waiting for the doctor queue up for several hours in order to retrieve their folder before consulting a doctor.

Managing a clinic with records on paper will be tedious and difficult to keep track of patient’s appointment, patients health condition will be difficult to observe due to the different doctors in the clinic.

1.3 Aim and Objectives of the Study

In view of the problems mentioned above:

·         This system will exclusively automate the daily operations of the clinic, such as assigning unique identification for every patient when creating his or her medical record.

·         It makes scheduling doctor’s appointment easy.

·         Staffs can automatically update changes made to any record.

·          It is used for online booking of appointment.

1.4 Significance of the Study

Clinic management system will help reduce time wasted in data processing. It secures information from being accessed from unauthorized personal. The implementation of clinic management system can help reduce the time wasted in booking appointment.

1.5 Scope of the Study

This project work is to develop a system capable of handling most of the administrative task in Caritas university  clinic which include facilitate record update, restricting access in the database with the allocation of privileges to authorized personnel.

1.6 Limitation of the Study

·         This project is limited to the use of patient database system, a case study of Caritas university clinic Enugu. 

·         Restricted access to data due to change of management.
